Guest Logistics

Get every guest to Saxon Manor on time without micromanaging their whole trip.

Brooksville is 45 minutes from Tampa and 90 minutes from Orlando, so most guests are driving in. Here's how to plan around that instead of hoping it works out.

The Reality

Your guest list is a driving list, not a flying list.

Saxon Manor sits at 103 S Saxon Ave in Brooksville, about 45 minutes from Tampa and 90 minutes from Orlando. Almost nobody flies into a regional airport for this wedding. They fly into Tampa or Orlando, rent a car or catch a ride, and drive the rest of the way. That changes how you plan transportation. You are not coordinating airport pickups. You are coordinating a group of people who will be on unfamiliar roads, possibly at night, possibly after a few drinks at your reception, trying to find their way back to wherever they are staying.

That drive time also means out-of-town guests are making a real decision about whether to stay near Brooksville or near Tampa, where there are more hotel options and more to do the rest of the weekend. Neither choice is wrong, but it affects your transportation plan differently. A group staying in Tampa needs a longer shuttle run or a clear plan for the drive. A group staying closer to Brooksville needs less coordination but fewer hotel choices to pick from in the first place.

The honest starting point is your guest list, not a vendor brochure. Before you call anyone about shuttles or rideshares, sort your list by where people are actually staying. That single spreadsheet column will tell you more about what you need than any generic transportation checklist.

The Process

Here is the order to work through it in.

  • Map where guests are staying.

Ask in your invitations or RSVP form where guests plan to stay. You cannot plan transportation for people whose starting point you don't know, and this takes one extra RSVP question.

  • Set one arrival window, not a vague time.

Give guests a specific arrival time for the ceremony, not a range. "Arrive by" language works better than "ceremony starts at" because it accounts for parking and walking in.

  • Decide if you need a shuttle or if guests can drive themselves.

If most of your group is staying at one or two hotels, a shuttle running a fixed loop is worth pricing out. If your guests are scattered across Tampa, self-driving with clear directions is usually more realistic than trying to coordinate everyone onto one bus.

  • Share parking and address details early and often.

Put 103 S Saxon Ave in the invitation, the wedding website, and a reminder text the week of. Do not assume guests will scroll back through old emails to find it.

  • Assign one point person for day-of transportation questions.

Your coordinator, part of the included planning team, handles logistics inside the venue. Someone in your wedding party should be the person guests text if they are lost or running late, so that job doesn't land on you.

On The Ground

Plan for the drive home, not just the drive in.

Getting guests to the ceremony on time is the easy half. The harder half is getting them home safely afterward, especially if the reception runs late and the drive back to Tampa is 45 minutes on unfamiliar roads. Rideshare coverage in and around Brooksville is real but thinner than it is in a dense city, so guests who assume they'll just "grab an Uber" at 10 p.m. may wait longer than they expect. If you know your crowd will be drinking, a shuttle with a fixed last pickup time solves this more reliably than leaving it to individual rideshare apps.

If you're running a shuttle, keep it simple: one pickup location, one dropoff location, a printed or texted schedule, and a buffer of 15 minutes built into every leg. Complicated multi-stop routes sound thoughtful on paper and fall apart in practice once real traffic and real guests are involved. A single clear loop beats a clever one.

Parking on-site is straightforward for guests who drive themselves, and your venue team can point vehicles where they need to go once they arrive. What we can't do is track down guests who never got clear directions in the first place. The transportation plan that works is the one guests actually read before they leave their hotel, not the one that lives in a planning document only you've seen.

Quick Checklist

Confirm these before the week of the wedding.

  • Guest addresses or hotel names collected through RSVPs
  • One clear arrival time communicated at least twice
  • Shuttle booked and confirmed, if you're using one, with a fixed last pickup
  • Venue address (103 S Saxon Ave, Brooksville, FL 34601) on the invitation and wedding website
  • One named point person guests can text on the day
  • A plan for the drive home, not just the drive in
